As Melvin International Consulting Ltd. Co. (“Melvin”), acting as data controller under the Turkish Personal Data Protection Law No. 6698 (“KVKK”), we would like to inform you about the personal data we process through the melvin.com.tr website and the info@melvin.com.tr mailbox.

2. Personal Data We Process

  • Identity and contact: your name and email address.
  • Request content: the subject and content of your message, and any other information you choose to share in it (e.g. your organisation, job title or phone number).
  • Transaction security: your IP address, browser and device information, and the date and time of submission when you send the form.
  • Site traffic records: the IP address, page visited, date and time, and browser information recorded by the server when you visit the site.
  • Visit and usage data (only if you consent): through Google Analytics cookies, the pages you visit, visit duration and on-page interactions, device and browser type, language, approximate location (country/city level), the source that brought you to the site, and cookie identifiers.

Please do not share special categories of personal data, such as health data, through the contact form or by email.

3. Purposes of Processing

  • To respond to your questions, requests and business enquiries and to communicate with you,
  • To prepare a service proposal and conduct pre-contractual discussions at your request,
  • To keep the website and its forms secure and to prevent spam, fake submissions and misuse,
  • If you consent, to measure how the site is used in order to improve our content and service pages,
  • To fulfil our legal obligations and protect our rights in the event of a dispute.

4. Collection Method and Legal Grounds

Your personal data is collected electronically through the contact form on our website, email correspondence and, automatically, while the site operates (server logs and form security verification). It is processed on the following legal grounds under Article 5(2) of the KVKK:

  • (c) processing is directly related to the conclusion or performance of a contract (proposals and pre-contractual discussions),
  • (ç) processing is necessary for the data controller to comply with a legal obligation,
  • (e) processing is necessary for the establishment, exercise or protection of a right,
  • (f) processing is necessary for our legitimate interests, provided that it does not harm your fundamental rights and freedoms (responding to your request, site and form security).

Visit and usage data processed through analytics cookies is processed on the basis of your explicit consent under Article 5(1) of the KVKK. You can withdraw your consent at any time via the “Cookie Preferences” link at the bottom of the page.

5. Transfers of Personal Data

We do not sell your personal data or share it with third parties for marketing purposes. Limited to the purposes above and only as far as necessary, it may be transferred to:

  • the provider of our hosting and email services,
  • Cloudflare, Inc., for form security verification (Cloudflare Turnstile),
  • Google, for site usage statistics (Google Analytics), if you consent,
  • competent public authorities and courts, where legally required.

International transfers: During form security verification, your IP address and browser/device information are processed by Cloudflare, Inc. (USA), whose servers may be located outside Türkiye. If you choose to display the map on our contact page, your browser connects to Google and your IP address is sent to Google; the map does not load unless you click it. If you consent, visit and usage data collected through Google Analytics is processed by Google, whose servers are located outside Türkiye. These transfers are carried out in accordance with the procedures and principles set out in Article 9 of the KVKK.

6. Retention Period

Contact form submissions and email correspondence are kept for 2 (two) years after your request has been concluded. Correspondence that leads to a contractual relationship is kept for the retention and limitation periods required by the applicable legislation. At the end of the period, your personal data is erased, destroyed or anonymised. Form submissions are not stored in the website database; they are sent directly to our corporate mailbox. Data collected through Google Analytics is kept for 14 months.

7. Cookies

Data that is technically necessary for the site and its form security verification to work is used. In addition, Google Analytics cookies (_ga, _ga_*) are used only if you select “Accept” in the cookie banner; these cookies may remain in your browser for up to 2 years. No advertising or personalised advertising cookies are used. If you select “Reject”, no analytics cookies are used. Your choice is stored for 6 months in a strictly necessary cookie named “mv_consent” and can be changed at any time via the Cookie Preferences link at the bottom of the page. If you choose to display the map on our contact page, Google may use its own cookies.

8. Your Rights

Under Article 11 of the KVKK, you have the right to apply to the data controller to:

  1. learn whether your personal data is processed,
  2. request information about the processing if it has been processed,
  3. learn the purpose of the processing and whether the data is used in line with that purpose,
  4. know the third parties in Türkiye or abroad to whom your personal data is transferred,
  5. request the correction of incomplete or inaccurate data,
  6. request the erasure or destruction of your personal data under the conditions set out in Article 7 of the KVKK,
  7. request that third parties to whom your data has been transferred be notified of any correction, erasure or destruction,
  8. object to a result against you arising from the analysis of your data exclusively by automated systems,
  9. claim compensation for damages arising from the unlawful processing of your personal data.

9. How to Apply

You may submit your requests, in accordance with the Communiqué on the Principles and Procedures for Applications to the Data Controller, in writing to our address above, with a secure electronic signature or mobile signature, or by email to info@melvin.com.tr from an email address you have previously notified to us and that is registered in our system. Your request will be concluded free of charge as soon as possible and within 30 (thirty) days at the latest, depending on its nature; if the process involves an additional cost, the fee set by the Personal Data Protection Board may apply.
